Mission
Role:
Based in Le Collectionist Athens office, you will be reporting to the Regional Director in Greece, and you will join the newly formed Owner Support Service (OSS) team. This dedicated team supports our Collection Managers across different destinations, without acting as a direct after-sales contact for owners. By handling administrative and operational tasks, you will help Collection Managers focus on delivering top-tier service and building strategic relationships with our owners. Your attention to details and responsiveness will ensure property information stays accurate and that each Collection Manager receives the assistance they need, exactly when they need it in order to optimize sales.
Missions & responsibilities:
Administrative management & Collection Managers support
Update and maintain property details in order to have the highest level of information in our tools: descriptions, photoshoot updates, practical details.
Maintain pricing and availability up-to-date in internal tools.
Keep track of essential owner documents (contact information, banking details, legal documents) and ensure these are readily accessible for the teams.
Efficiently handle administrative emails and miscellaneous requests from owners addressed to Collection Managers/Resort Managers.
Competitiveness & performance
Conduct market prices collection and analysis (benchmarking and market analysis) to be in line with the market with a focus on Local agencies across multi territories and countries.
Work closely with Collection Managers/Resort Managers to flag any anomalies or opportunities for strategic adjustments (pricing, availability optimizations, conditions).
Cross-department collaboration
Work closely with other departments to collect or share information that support Collection Managers in their daily tasks.
Prepare the new legal partnership contracts for the Collection Managers, ensure the accuracy of the client rental contract information.
Assist with payment issue.
Ensure to follow internal procedures to guarantee qualitative and transparent information for all teams.
Continuous improvement & reporting
Receive and follow up on issues raised by Collection Managers (e.g. missing data), coordination with the relevant teams until resolved.
Suggest process improvements to reduce turnaround times and boost owner satisfaction.
Help produce regular OSS reports, including time saved by Collection Managers and owner satisfaction metrics.
Profil
Education: Degree in administration, management, tourism, or a related field.
Experience: Previous experience in administrative management, back-office, or customer support is highly valued.
Skills:
Full professional proficiency in Greek and English (written and spoken). Comfort in a third language (French, Italian or Spanish) is a plus.
Strong organizational skills, attention to detail, and rigor.
Comfortable with digital tools and systems (Excel, HubSpot, Pricing tools).
Ability to multitask and meet tight deadlines.
